Searching for a rental property

You can search for a rental property in various ways, by looking:

  • On this webpage
  • On realestate.com.au
  • On domain.com.au
  • In the Geelong Advertiser - Saturdays and Wednesday
  • In our property list - which can be collected at our office at 45 Ryrie St, Geelong

However, consider the following prior to searching:

  • Where you would like to live
  • How much rent you can afford to pay
  • Whether you would prefer to live in a house, townhouse or apartment
  • The number of bedrooms to fit your requirements
  • The number of bathrooms to fit your requirements
  • Your car parking requirements

Applying for a rental property

When you have found property that meets your needs, you will need to complete and submit a Tenancy Application Form.

You must provide:

  • Current and previous addresses
  • Current and previous rental histories
  • Current and previous employment histories
  • References
  • Next of kin details
  • 100 Points of Identification which includes compulsory proof of income and photo identification

Bond

What is a Bond?

The bond is held to cover any potential future damage to the property (if shown to be the tenant's fault) or for other discrepancies at the end of the tenancy.

All bonds are lodged with the Residential Tenancies Bond Authority (RTBA).

How much is the Bond?

This is calculated by multiplying one week's rent by 52 weeks and then dividing by 12 months. This is equivalent to one calendar month's rent.

Paying the Bond

The bond amount is to be paid with a separate bank cheque or money order made out to the RTBA.

Bond Receipt

A receipt for the bond will be sent to the rented property street address as shown on the bond lodgement form from the RTBA.

Bond Refund

The bond will be refunded after the property is fully vacated, all keys have been returned to our office and a final inspection has been carried out - less any deductions that may be agreed or directed by the tribunal.

Landlord claims on the Bond

A landlord may be able to claim some or all of the bond:

  • If there is damage done by the tenant which is beyond fair wear and tear
  • If personal items are left behind
  • If the house is left dirty
  • If rent is left unpaid at the end of the tenancy
  • If you fail to comply with any other obligation and the landlord suffers loss as a result of this

Note - If the claim by the landlord is greater than the bond, the tenant may be ordered to pay an additional amount.

Services & Utilities

It is the Tenants responsibility to arrange for the connections and disconnection of all services to thier home.

Once approved, tenants will receive a leaflet regarding a company called 'Direct Connect'. This is an easy way to have all your services connected at the same time.

Prime Real Estate carries no responsibility with your connections and can not be held accountable for connections not being available or ready at your property.

Paying Rent

The rent is due on the date prior to the lease starting and must be paid fortnightly in advance.

A tenant may choose to pay monthly in advance.

If a tenant would like to pay their rent on alternative intervals, this must be approved by Prime Real Estate and the Landlord prior to the commencement of the lease.

We request that rent is paid directly into an account advised by us at the time of signing the Tenancy Agreement. This can be done over the Internet or by attending the local branch of a bank.

Periodic Inspections

Initial Inspection

The Property Manager will complete an inspection and full condition report at the commencement of the lease which is also accompanied by photos of the property. Tenants are given the opportunity to check this report, make any additions and return it to Prime Real Estate within 3 business days.

This report is the reference for the condition of the property at the final inspection which is carried out by the Property Manager.

Periodic Routine Inspections

We are required to conduct regular Routine Inspections and submit a report to the Landlord, as managing agents of the property.

A Routine Inspections is conducted 3 months into the tenancy and every 6 months thereafter. Tenants are sent a letter advising when this inspection will be conducted.

Should the tenant not be home at the time of the inspection we can use our office keys to access the property and leave a business card confirming that we have completed the inspection.

Final Inspection

A Final inspections will be conducted upon the tenant vacating the property.

The final inspection report is closely checked with the condition report which was completed during the Initial Inspection. This ensures that there has been no damage to the property (beyond normal wear and tear) and that no fixtures have been removed.

Repairs & Maintenance

A provision of the Residential Tenancy Act 1997 requires that a tenant advises the managing agent of any maintenance that occurs during the tenancy. If not, tenants could be held liable for any additional costs incurred by the owner.

As soon as a tenant becomes aware of any maintenance they must contact our office immediately and complete a Maintenance Form.

Urgent Repairs

Tenants should follow the following steps for urgent repairs:

  • For urgent repairs during normal business hours, contact our office on 03 5229 8822
  • For urgent repairs after normal business hours, which fit into the list set out in the Residential Tenancies Act 1997, the tenant should firstly contact the Property Manager on 03 5229 8822 and leave a message
  • If a response has not been received after a short period of time, the trade's people below should be contacted and the urgent repair discussed with them

Be aware that the tenant may be requested to pay the account if the repairs are not urgent or are deemed not to be the Landlords responsibility and the tenant requested for a trade's person to attend.

Ending Your Tenancy

A tenancy can only end when one of the parties to the Tenancy Agreement gives notice to the other party as explicitly defined by the The Residential Tenancies Act, 1997.

If a tenant wishes to vacate the property at the end of their Agreement, a tenant must give twenty-eight (28) days notice in writing prior to the expiration date of their tenancy agreement.

If a tenant wishes to vacate during their fixed term Agreement, they will be breaking the contract they have entered into, and will be responsible for reimbursing the Landlord for any loss suffered, e.g. rent until the property is again tenanted, plus the Landlords normal costs in releasing.

Leasing and Management Services

Appraising your vacant property

In order to allow us to advise you of the current market rental value, we arrange a mutual time to conduct an inspection of the rental property. We can discuss ways to maximise the rental value and achieve the optimum return on your investment during this initial inspection.

If you are not able to be present we can attend the inspection and discuss outcomes by phone or email.

Transferring your property with a current tenancy

A property can be transferred to another management agency while a tenancy is in place.

As soon as you contact Prime Real Estate and approve authorisation for us to manage your property, we will arrange everything for you.

There are no fees or charges to change agents and all the transfer of documentation is handled for you.

We approach the tenants with care and respect and advise them on all procedures for the transfer. We arrange a time to meet and greet the tenant/s to re-assure them of our policies, procedures, transfer of rent payments and also to become familiar with your property. We conduct any overdue routine inspection and advise you of the current condition of your property. We review lease agreements, possible rent increase that may be warranted and discuss the current status of your property with you. We also advise on the what we can do to maximise your rental return.

The transition is smooth and easy and we believe you will notice the change for the better immediately.

How do tenants pay their rent?

Tenants have several options to pay their rent:

  • Internet banking
  • Through teller payments at their chosen financial institution

Landlord Insurance

Landlord Insurance is highly recommended for landlords' investment properties. The landlord's current insurer may be able to assist in this area or companies that specialise in Landlord insurance.
